What to include in your enquiry
A useful enquiry gives our project team enough information to match construction, cost, compliance and timing. You do not need a finished technical pack, but clear assumptions reduce back-and-forth and make the first quotation more comparable.
| Field | Why it is needed | Example |
|---|---|---|
| Category | Sets the construction route, equipment needs and relevant quality checks | Custom tote bag for a retail promotion |
| Quantity | Determines material purchasing, line planning and the correct price basis | 500 units per style and colour |
| Dimensions | Controls pattern size, material consumption, fit and packing volume | Finished width, height and depth shown on a drawing |
| Fabric | Influences hand feel, structure, performance, compliance and cost | Recycled polyester with the required weight and finish |
| Number of colours | Affects material matching, purchasing quantities and process changes | One body colour with one contrast colour |
| Logo method | Determines artwork preparation, tooling, sample appearance and durability | Screen print, embroidery, woven label or metal badge |
| Target price | Helps prioritise materials and details that fit the commercial position | Your workable FOB Xiamen target and required inclusions |
| Destination country | Identifies market-specific testing, labelling and shipping considerations | Final import market and any buyer compliance manual |
| Delivery requirement | Allows backward planning for sampling, approval, production and freight | Required arrival date rather than only a launch month |
Attach reference images, drawings, artwork and an existing sample description where available. Please distinguish fixed requirements from preferences. If an NDA is required, mention it before sending sensitive design files.
If you are comparing several options, use the same quantity, delivery basis, packing assumption and compliance scope for each one. A target price is most useful when it is connected to the features that cannot change. Tell us whether appearance, performance, material claim, retail packaging or arrival date has priority, and identify any optional feature that can be costed separately. This gives the team a practical way to offer alternatives without weakening an essential requirement.
For an existing product, describe the problem you want to solve as well as the construction you want to repeat. Photographs of wear points, customer feedback, inspection findings or a marked-up sample can help focus development on the relevant detail. Do not send an irreplaceable physical reference until the receiving arrangement and return expectation have been confirmed.
Response times
Timing begins when the information needed for the relevant stage is complete. Approval delays, material availability, test requirements and major specification changes can shift the working plan.
24–48 hours for a complete technical pack or a sufficiently detailed brief. Open specifications may require option confirmation before a firm comparison is possible.
6–10 working days for standard development. Complex construction, specialist tooling or multiple process trials may require 12–15 working days.
35–50 days after sample approval, subject to the confirmed material and production plan.
Indicative transit is 25–35 days by sea and 5–8 days by air. Final routing depends on destination, service, booking and customs conditions.
Commercial terms at a glance
| Term | Standard basis | What to confirm |
|---|---|---|
| MOQ | 500 units per style and colour | Final construction, colour split and material availability |
| Payment | T/T 30/70 | 30% deposit and 70% before shipment |
| Delivery term | FOB Xiamen | EXW, CIF or DDP can be discussed for the destination |
| Inspection | AQL 2.5 | AQL 1.5 is available when agreed in the quality plan |
| Sample fee | USD 50–150 | Credited on the first bulk order |
| Tooling | USD 300–2,500 | Exact need, ownership and storage terms depend on the design |
These terms are a planning baseline, not a substitute for the quotation and purchase order. Material specification, branding process, packing, tests and destination requirements define the final commercial scope.
When reviewing the quotation, check that the style, quantity, colour allocation, artwork method, material description, sample basis, packing and delivery term match your brief. Flag any assumption that differs from your internal approval. Tooling and sample charges should be read together with ownership, credit and revision terms, while freight comparisons should use the same Incoterms 2020 responsibility split.

Frequently asked before contacting
Can I enquire without a complete technical pack?
Yes. Send a reference image, intended use, approximate dimensions, quantity, destination and target timing. Mark which details are fixed and which are open to recommendation. We can then identify the decisions needed before a firm quotation or sample.
What is the minimum order quantity?
The standard MOQ is 500 units per style and colour. A colour split changes material purchasing and line planning, so list each expected colour separately. The final quotation confirms the applicable basis for your exact specification.
How quickly can I receive a quotation?
A complete technical pack is normally quoted within 24–48 hours. If material, dimensions, branding, packing or compliance details are missing, we may first provide focused questions or costed options so the quotation is based on comparable assumptions.
How long does a sample take?
Standard sampling takes 6–10 working days. Complex development may take 12–15 working days. Timing starts after the sample scope, artwork, materials and fee are confirmed, and revisions are recorded against your approval comments.
Can you support compliance and third-party inspection?
Yes. Share the destination market, product use and buyer protocol at the enquiry stage. The programme can incorporate relevant material documents, testing and final inspection under ISO 2859-1 at AQL 2.5, as well as an agreed independent inspection.
What happens after I send the brief?
Our project team reviews feasibility, flags missing decisions and aligns the quotation basis. After commercial confirmation, sampling closes the construction and appearance requirements. Bulk planning begins only after the approved sample and order documents establish the controlled specification.
Frequently Asked Questions
What information should an enquiry contain to be quoted accurately?
Send category, quantity, dimensions, fabric, colour count, logo method, target price, destination country and required arrival date. Mark which items are fixed and which are open, because complete inputs support the 24-48 hour quotation while gaps become documented questions rather than silent assumptions inside the price you receive.
How quickly will I receive a written quotation after sending a brief?
A complete technical pack or sufficiently detailed brief is quoted within 24-48 hours. Where material, dimensions, branding, packing or compliance detail is missing, you first receive focused questions or costed options so the final figure rests on comparable assumptions. The quotation states quantity, specification basis, branding, packing, lead time and exclusions.
How long does sampling take once the sample scope is confirmed?
Standard sampling takes 6-10 working days and complex development takes 12-15 working days. Timing starts after the sample scope, artwork, materials and the USD 50-150 fee are confirmed, and each revision is recorded against your written approval comments. Courier transit of 3-5 days is billed separately at cost.
When does mass production start and how long does it run?
Mass production runs 35-50 days after written sample approval, material confirmation and deposit clearance are all in place. Sea freight then adds 25-35 days to most major ports, so plan backwards from the arrival date your launch actually requires. Under T/T 30/70 the 30% deposit releases materials and line space.
What payment structure applies to a first custom order?
The standard structure is T/T 30/70: a 30% deposit that releases materials and line space, and the 70% balance settled before shipment release. Alternative structures are possible by agreement but must be confirmed in writing before the purchase order is issued for your programme. Incoterms 2020 then defines where responsibility transfers.
Which delivery basis is standard and what alternatives are available?
Delivery is normally quoted FOB Xiamen under Incoterms 2020, with EXW, CIF and DDP available where you prefer a single landed figure. Confirm which basis each quotation uses, because two prices built on different responsibility splits are not directly comparable for the same 500-unit order.
How long does freight take by sea, air or express courier?
Indicative transit is 25-35 days by sea, 5-8 days by air and 3-5 days by express courier. Final routing depends on destination, carrier service, booking availability and customs conditions, so treat these ranges as planning input rather than a guaranteed arrival date. Documents follow the booking.
Is the sample fee refunded when I place a bulk order?
Yes. The sample fee of USD 50-150 is credited against your first bulk order when it reaches the 500-unit minimum per style and colour. Courier charges are billed separately at cost, and dedicated tooling of USD 300-2,500 is quoted for your approval before any charge is raised.
What inspection level is applied before shipment release?
Finished goods are sampled and inspected to ISO 2859-1 at AQL 2.5, with critical defects at 0, major at 2.5 and minor at 4.0. AQL 1.5 is available when agreed in advance, and the written report is issued before release is requested. You may also appoint SGS, Intertek or Bureau Veritas.
Which compliance documents can be prepared for my import market?
Documentation is prepared against your destination market: REACH (EC 1907/2006) declarations for Europe, California Proposition 65 assessment, CPSIA evidence for the United States, EN 71-3 for products intended for children, OEKO-TEX Standard 100 inputs and GRS records for recycled content claims. Laboratory reports are issued to your company for the compliance file.
